A step-by-step guide to setting up FMN for your trade business — from creating your profile to sending your first quote.

Step 1: Set up your business profile

After signing up, complete your business profile with your business name, trade type and contact details. This information appears on your quotes, estimates and client portal. You can also add your logo and brand colours so every document you send looks professional. Visit Settings to customise your branding.

Step 2: Create your first project

Projects are the hub for everything in FMN. Create a project for each job you are quoting or working on. Each project holds estimates, schedules, documents, costs, photos and client communication in one place. You can create a project from the dashboard or the quick-add button.

Step 3: Create your first estimate

FMN's Smart Estimates tool helps you build quotes fast. Add line items for labour and materials, set your quantities and margins, and FMN calculates the totals automatically. You can save commonly used estimates as reusable recipes so you never start from scratch. Once your estimate is ready, you can send it to the client as a professional PDF quote.

Step 4: Manage your schedule

The calendar view shows all your site visits, appointments and deadlines in one place. You can sync your FMN calendar with Google Calendar so your schedule is always up to date across your devices. Add events directly to projects so everything stays organised.

Step 5: Organise documents and photos

The document vault keeps all your plans, contracts, certificates and site photos in one secure place. Upload files directly from your phone or computer and attach them to the relevant project. Site photos are automatically sorted so you can find them later.

Step 6: Share a client portal

The client portal gives your clients a simple way to view project progress, approve quotes, see schedules and send messages. You control what they can see. It keeps communication in one place instead of scattered across text messages and emails.

Step 7: Track costs and money

Project costs lets you track actual spend against your estimates so you always know if a job is profitable. The money view shows your cash flow, upcoming payments and tax owed across all your jobs.

How do I create a quote in FMN?

Yes. FMN is a web app that works on any device — phone, tablet or computer. On iPhone, you can install the FMN app from the App Store. On Android, use the web app or install it as a PWA. Your data syncs across all devices.
